Membership tiers

Membership tiers are the memberships you sell — Individual, Couple, Family, and so on. Each tier sets its own price, duration, capacity, guest passes, and renewal options, and every member joins on exactly one tier.

  1. Click Programs, then Memberships.

  2. Click New membership tier.

  3. Fill in the form — every field is described below — and click Create tier.

Each tier appears as a card showing its price, member count, capacity bar, and icons for facility access, guest passes, and autopay. View members on a card opens the member roster filtered to that tier.

Basics

  • Name, Tier color, Description — the color accents the tier’s card on this page.

Pricing

  • Price — dues for one membership cycle. Enter $0 to make the tier free.
  • Application fee — a one-time fee charged when someone applies to join through your portal. You can refund it when rejecting an application. It must be $0 or at least $0.50, and the form warns you if Stripe payments aren’t set up yet — joining a tier with a fee is blocked until you connect Stripe or remove the fee.
  • Scheduled price change (optional) — see Schedule a price change below.

Duration

  • Season — pick a season to make the tier seasonal; the membership expires when the season ends. See How seasons work.
  • Duration — for non-seasonal tiers, a fixed length in Months or Years.

Guest passes

  • Default guest passes — complimentary passes each member receives when the membership starts or renews.
  • Guest pass price — what additional passes cost.

Capacity & family members

  • Max total members — caps the tier. Leave blank for unlimited.
  • Max family members — included family members per primary member. Leave blank for unlimited.
  • Family member overage price — charged per extra family member beyond the included count.

Options

  • Access all facilities — when unchecked, members on this tier are restricted to the facilities you grant access to on each facility.
  • Auto activate — free tiers only. Approved members become active immediately instead of waiting in the awaiting-payment step.
  • Count family members toward max members — includes family members when checking the tier’s capacity.
  • Allow autopay — paid tiers only. Members can opt in to automatic renewal with a saved card. Free tiers always disable this.
  • Prorate mid-season joins — paid seasonal tiers only. Members joining after the season starts pay only for the days remaining.
  • Installment plans — paid non-seasonal tiers only. Check any of 2, 3, 4, 6, or 12 payments to let members split dues into equal monthly payments; the first payment is charged at acceptance and the rest auto-charge monthly.
  • Required waivers — shown when your organization has active waivers. Members on this tier must sign the checked waivers; waivers not assigned to any tier apply to every tier automatically. When editing, check Email members who need to sign to send members missing a signature for a newly added waiver one email with a signing link.
  • Tier is active — editing only. Uncheck to archive the tier.
  1. Open the tier’s menu and click Edit.
  2. Under Scheduled price change (optional), enter the new price and the date it takes effect.
  3. Click Save changes.

Memberley applies the new price automatically on that date and records the change in the activity log. Until then, the tier’s card shows the queued amount and date in amber. Click Remove scheduled change on the form to clear it.

A tier is full when its active members (plus family members, if counted) reach Max total members. Once full:

  • If your organization’s waitlist is enabled, new registrations join the tier’s waitlist instead of being blocked.
  • If not, registration is rejected with a message that the tier is full.

Archiving hides a tier from your join portal and season registration so no one new can sign up, while keeping its current members and history intact. Either:

  • Edit the tier and uncheck Tier is active, or
  • start a delete (below) and click Archive instead.

Re-check Tier is active at any time to bring it back.

  1. Open the tier’s menu and click Delete.
  2. If the tier has no members, confirm with Delete tier.
  3. If the tier has members, choose a tier under Reassign members to, then pick a Billing option:
    • Assign at zero cost — no charge or refund; members just move.
    • Request payment — creates a pending invoice for the price difference and emails each member a payment reminder.
    • Charge or refund the difference — automatically charges or refunds each member’s saved card for the price difference. Members without a saved card may be skipped.
  4. Click Reassign & delete.

If any member can’t be reassigned, nothing is deleted and the dialog lists what went wrong.
