Sender identity & suppressions

Requires the Communications module

Two housekeeping surfaces sit behind every email campaign: the sender identity — the name, reply-to address, and mailing address stamped on each email — and the suppression list of addresses Memberley will no longer email on your behalf.

  1. Click Communications in the sidebar, then Email Campaigns, then the Sender tab.
  2. Enter a From name — shown as the sender in your members’ inboxes, e.g. “Acme Pool Club”.
  3. Enter a Reply-to email — where members’ replies to your campaigns are delivered.
  4. Enter a Physical mailing address. This is required by CAN-SPAM and shown in every campaign footer; use a real address you can receive mail at — a P.O. Box is fine.
  5. Click Save sender identity.

A banner at the top of the tab tracks readiness: while any of the three fields is missing it warns that the sender identity is incomplete and campaigns can’t be sent; once complete it shows Ready to send.

You don’t add an unsubscribe link yourself — every campaign email carries a personal one for its recipient, including the one-click unsubscribe header modern inboxes surface next to the sender. When a member uses it, their address lands on the suppression list below with the Unsubscribe reason, and future campaigns skip them automatically.

The same tab has a Require approval before sending checkbox. Ticking it forces every campaign through the submit-and-approve review flow, exactly like the Require campaign approval toggle in Features — turning either switch on is enough to enable the gate. The gate is checked when a campaign is submitted, so switching it on affects future submissions — campaigns already approved or scheduled aren’t pulled back for review.

The Suppressions tab lists every address Memberley won’t email, with summary counts by reason:

  • Hard bounce — the mailbox doesn’t exist or permanently refused delivery; sending again would hurt your sender reputation.
  • Complaint — the recipient marked a campaign as spam; continued sending risks ISP blocks.
  • Unsubscribe — the recipient opted out via the unsubscribe link in a campaign.
  • Manual — suppressed by an admin.

Each row shows the email, the reason, the Source campaign that triggered the suppression (when there is one), and when it happened. Filter by Reason, or search by email and click Apply; long lists paginate with Previous and Next, and the footer shows the total entry count.

Suppression is organization-wide, not per campaign — once an address is listed, every future campaign skips it regardless of which segment it matches.

Suppressed addresses are skipped automatically whenever a campaign sends — they appear in the campaign’s recipient table with a “Skipped suppressed” status, so recipient counts always reflect who was actually emailed.
